Speech to Text vs Transcription vs Dictation
Speech to text is the technology; dictation and transcription are two jobs it does. The difference, which tool fits each, and where the three meet.
Speech to text is the technology that turns spoken words into written ones. Dictation uses it live: you speak and the text appears in the document you're writing. Transcription uses it on a recording: a meeting, interview or lecture becomes a written record afterwards. Same technology, two different jobs.
Dictation is for writing. Transcription is for remembering what was said.
What's the difference, side by side?
| Dictation | Transcription | |
|---|---|---|
| Input | You, speaking to write | A recording of one or more people |
| When the text arrives | Right after you stop speaking | After the recording ends |
| Where it goes | The app you're typing in | A transcript or notes |
| Who reads it | Whoever receives your email, doc or message | You, later, or your team |
Why does the distinction matter?
Because the tools are built for one or the other. A transcription service is great for a recorded interview and awkward for answering an email. A dictation tool is the reverse. Picking by the job saves you from working around the wrong tool. And the job is worth doing by voice: in a Stanford study (Ruan, Wobbrock, Liou, Ng and Landay, 2016), speech input on phones was about three times faster than typing for English.
Which kind of dictation do you need?
Dictation itself splits by what you want back. Sometimes you want it cleaned up, sometimes you want it organized for an AI, sometimes you want every word. Pithflow's Windows app has all three as modes you switch by tapping Ctrl twice:
- Structured — punctuation, no filler, spoken lists as bullets.
- Prompting — a spoken ramble becomes a clean, numbered prompt for ChatGPT, Claude or Cursor.
- Raw — your words as spoken, with no AI rewriting.
And when you need transcription?
For meetings and lectures, Pithflow has a separate Meetings recorder on Windows: you record the meeting from your PC, no bot joins the call, and when you stop you get the full transcript plus notes with key points, decisions and action items.
Where do the two meet?
In the cleanup. Both a dictated email and a meeting transcript start as raw speech-to-text, and both are more useful once filler and repetition are gone. The difference is timing: dictation cleans up a few sentences while you work, transcription cleans up an hour after the fact.
Try the three dictation modes on the same sentence on the dictation modes page, or download Pithflow for Windows.
FAQ
Is voice typing the same as dictation?
Yes. "Voice typing" is Microsoft's name for dictation in Windows (Win+H); it's the same job of speaking to write.
Can a dictation app transcribe an audio file?
Usually not. Dictation apps listen to your microphone live. To turn a recording into text you want a transcription or meeting tool.
Does dictation work offline?
Some tools do; Pithflow doesn't. Its speech recognition runs on its servers, so it needs an internet connection in every mode.
