Open the Meetings tab, click New meeting, choose
In person or Video call, and press record. When you press
Stop and save, the notes are written from everything that was captured and
appear on a card in the same tab. Six steps, and the details that matter at each one.

The six steps

Open Pithflow and click Meetings
Meetings is a tab in the app's left sidebar, alongside Home and History. You need to be signed in — the tab is part of your account.

Click New meeting
A chooser opens on the same screen asking how you are meeting. There is no separate window and nothing to configure.

Pick In person or Video call
In person records your microphone — everyone in the room is in that one stream. Video call records your microphone and the audio your computer is playing, which on a Zoom, Teams or Meet call is everyone else. Put on headphones for a video call.

Tell the other people, then start
Say you are recording notes before you press the button. Pithflow shows nothing to the other participants. Once recording, the app shows an elapsed clock and an input level meter, and uploads the recording a minute at a time in the background.

Press Stop and save
The last minute uploads, the status changes to Writing your notes, and within about a minute the meeting card appears at the top of the list with the notes filled in. Discard, next to it, throws the recording away instead — it asks twice.

Read, copy, or export
Each card shows the summary, the key points ranked by how many times each came up, the decisions and the action items. Toggle to Transcript to read the raw words. Copy puts the notes on your clipboard; Export saves them as a Markdown file in Pithflow's exports folder.
Which mode should I pick?
In person
Everyone is in the room with you. One stream, your microphone, and every voice it can
hear is in it. The transcript has no speaker labels, because one microphone cannot
honestly tell the room apart. Put the laptop in the middle of the table.
Video call
Zoom, Teams, Meet, or anything else that plays through your PC. Two streams: your
microphone, and what the computer is playing. The transcript is labelled
Me and Them. Wear headphones — on speakers the other
side reaches your microphone a second time.

What is on the card afterwards
Each meeting is one card in the Meetings tab, newest first. From the top:
—Title, taken from the summary, with the date, the length, and whether it was in person or a call.
—Notes: the summary, then Key points as a numbered list with a count beside each one showing how many separate times it came up, then Decisions, then Action items. Long notes are clamped with a Show more.
—Transcript ⇄ Notes toggle. The transcript is the raw words, untouched — on a call, split into Me and Them.
—Copy, Export (a Markdown file), and Delete, which asks you to confirm.
The count next to each key point is the reason the notes look the way they do —
here is why.
The free plan's 15 minutes
On the free plan the recorder shows a note under the clock: your plan stops a single
recording at 15 minutes. When it hits that mark the recording stops on its own, uploads
what it has, and writes the notes from it — nothing is lost, it just ends. Meeting audio
also counts toward the weekly free allowance the dictation side uses, so a free account
gets roughly one real meeting a week. Pro and Team remove

Before you press record
Pithflow does not announce the recording to anyone else on the call or in the room, and it
will not ask you whether you told them. Say it out loud before you start. In a number of US
states everyone in the conversation has to agree; the
consent post
lists them and what a reasonable announcement sounds like.
Frequently asked questions
Where is the Meetings tab?
In the left sidebar of the Pithflow app, below Home. It appears once you are signed in. If you are on a version older than 1.34 it is not there yet — direct-download installs update on their own, and Microsoft Store installs get it once the release clears certification.
Why does it say to finish the dictation in progress first?
A meeting and a dictation cannot record at the same time. If a hold-to-speak or hands-free dictation is still running, let it finish or stop it, then start the meeting.
Why did my recording stop at 15 minutes?
That is the free plan's cap on a single meeting — the app says so under the recorder. Everything captured up to that point is kept and the notes are written from it. Pro and Team have no per-meeting cap.
Can I give the meeting a name?
The card takes its title from the first line of the summary, so a meeting that was about the Q3 forecast is titled that way without you typing anything.
What if the notes did not appear but the transcript did?
The transcript is saved first, and the notes are written from it as a second step. If that step fails, the card keeps the transcript and shows that the notes could not be written, rather than inventing them. The transcript is still yours to copy or export.
Where does Export put the file?
In Pithflow's exports folder inside your Windows app data, as a Markdown file named after the meeting. There is no save-as dialog; Copy is the faster route if you just want the notes in an email or a doc.
How do I delete a meeting?
Delete on the card, then confirm. That removes the transcript and the notes from your account. Deleting your account removes all of them.
